Accounts Payable Officer Job Brief
We are looking for an analytical accounts payable officer to assist our accounting department. An Accounts Payable Officer is responsible for managing the company’s outgoing financial transactions, ensuring that all supplier invoices are processed accurately and paid on time. The role supports the finance department by maintaining proper records, verifying financial data, and ensuring compliance with company policies and accounting standards.
The Accounts Payable Officer works closely with vendors, procurement, and internal departments to resolve invoice discrepancies and maintain good supplier relationships. Attention to detail, organization, and strong numerical skills are essential for success in this position.
Primary Functions and Essential Responsibilities:
• Process and verify supplier invoices accurately and on time.
• Handle the company transactions per month, including monthly billings.
• Prepare daily bank reconciliations petty cash and report.
• Manage the day-to-day operation of the account payables (a/p) function and Stock.
• Maintain accurate records of all payables (Work closely with other departments to ensure records are accurate and complete, and that accounts payable ledgers and journals are up to date).
• Prepare any related supporting documentation for reconciliations on account payable.
• Book-keeping all the transactions into the QuickBooks or accounting software.
• Match invoices with purchase orders and delivery receipts.
• Prepare and process payments (cash, bank transfer, cheques).
• Reconcile supplier statements and resolve discrepancies.
• Assist in closing the report at the end of the month.
• Maintain proper filing (hardcopy & digital) of financial documents.
• Communicate with suppliers regarding payment issues.
• Weekly review vendor aging balance to ensure payment to vendor 7 days before due date.
• Other tasks are assigned by the line supervisor or general manager.
Accounts Payable Officer Required Skills:
• Strong attention to detail and ability to work with numbers accurately.
• Excellent written and verbal communication skills to effectively interact with customers and internal teams.
• Proficiency in using accounting software and Microsoft Office Suite, particularly Excel, for data entry, analysis, and reporting.
• Strong problem-solving skills to identify and resolve payment discrepancies or issues.
• Ability to prioritize tasks and manage time effectively to meet deadlines.
• Excellent organizational skills and ability to maintain accurate and up-to-date records.
• Understanding of accounting concepts.
• Ability to work independently and collaboratively within a team environment.
Required Qualifications:
• Holding a bachelor’s degree in accounting or finance is preferred.
• Proven experience in accounts payable or a related field.
• 1–3 years of experience in Accounts Payable or related accounting roles.
• Familiarity with financial accounting software, such as QuickBooks or related software, and strong Excel skill.
• Basic knowledge of financial statements and reporting.
• Strong problem-solving and analytical skills.
• Excellent attention to detail and accuracy.
• Effective communication and interpersonal skills.
• Ability to work with confidential information and maintain high levels of professionalism and integrity.
